Position Summary: The Legal Administrative Assistant will work within the Legal Department and will report to the General Counsel. They will work closely with all General Counsel and Risk Management. The Legal Administrative Assistant will provide a full range of clerical and administrative support to the Legal and Risk Management Departments, including in-house counsel and risk managers. This position will be fully in-office.

To support our team dynamic, the Legal Administrative Assistant is an in-office position.

Location: The position will be based in Portland, Oregon until early 2025, and will then transition to Lake Oswego, Oregon.

Salary Range: $50,000.00 - $70,000.00/ Annual

Essential Responsibilities:

  • Support multiple attorneys with litigation, discovery management, and organizing documentation for litigation on an as-needed basis.

  • Assist with new project support, including job start-up kits and posters for jobsite field offices.

  • Manage documentation, including copying, scanning, filing, and archiving.

  • Coordinate and set up conference rooms, perform note taking, organize and disperse departmental mail, manage department email accounts, schedule meetings, and make travel arrangements for the Legal and Risk Management Department.

  • Provide backup support for various functions within the department and other areas of the business outside the department with cross training.

  • Assist department with government compliance tasks.

  • Provide assistance with insurance tasks and tracking.

  • Assist Drug and Alcohol Testing Administrator with tracking post-accident testing and results (as needed).

Qualifications:

Education

  • High School diploma or equivalent required.

  • Associate’s or Bachelor’s Degree preferred.

    Experience

  • At least two (2) years of in-office work experience preferred.

Position Related Skills

  • In-depth working knowledge of relevant computer programs, including Microsoft Windows, Microsoft Office Suite (Excel, Word, Power Point and Outlook) required.

  • Working knowledge of legal research databases preferred.

  • Experience with Relativity, Access, or other document management systems preferred.

  • Strong oral and written communication skills required. Bilingual in Spanish preferred.

  • Attention to detail and accuracy.

  • Problem analysis and resolution.

  • Able to effectively handle sensitive and confidential information.

  • Ability to work effectively as part of a team.

  • Able to work well under pressure.

  • Must be able to work independently, make decisions, and follow through on all assignments. 

Physical and Mental Requirements:

  • Must be able to remain in a stationary position in an office environment more than 85% of the time.

  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, computers, or printer.

  • The worker is required to have the ability to perform duties such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; reading printed and digital documents.

  • Constantly required to communicate with customers and coworkers in an office setting, on the phone and in virtual environments.

  • Constantly required to coach, train, lead and talk to individuals and groups in-person, and remotely.

  • The majority of work is performed in an office setting, with minimal time spent outdoors in all types of weather conditions and exposure.

  • Must be able to work independently, make decisions, and follow through on all assignments. 

  • Must use creativity, independent judgment, discernment, and organizational and problem-solving skills to determine best method to accomplish desired results.
